  • What is Zapisnik?
    Zapisnik is a web application that supports the management of meetings and sessions. It enables preparation of agendas, conducting of votes (regular, extraordinary, and correspondence sessions), automatic creation of meeting minutes, and maintenance of an archive of all minutes and related materials. The application is designed for organizations of all sizes – from small associations to larger companies and public institutions.
  • Is a free trial available?
    Yes! Upon registration and entering your payment information, you receive a 30-day free trial. During this period, you can test all features and determine which package best suits your needs. If you cancel the subscription before the trial ends, you won’t be charged anything. After the trial expires, the subscription is automatically activated according to your selected package.
  • How does transcription work?
    The application provides automatic speech-to-text conversion in real time during the meeting. A record of the discussion is thus available simultaneously, and the final minutes are generated when the meeting ends. Please note that transcription is an automated service and may contain errors, especially with poor audio quality, overlapping speech, or use of dialects. We recommend reviewing the minutes before approval and supplementing them as needed.
  • What happens when I use up my transcription allowance?
    The transcription allowance (number of hours per billing period) depends on your selected package. When you reach or exceed the included allowance, transcription may be temporarily limited until the start of the next billing period. However, you can at any time activate an add-on for more transcription hours or upgrade to a higher package with a larger allowance.
  • What roles do users have?
    The application has three roles: viewer (read-only access), user (active participation in meetings), and administrator (administrative rights to manage organization settings, users, and subscription). The organization administrator assigns and revokes roles for individual users.
  • Can I upgrade my package?
    Yes, you can upgrade your package at any time according to your needs. With an upgrade, you gain more users, a larger transcription allowance, more server storage, and other benefits offered by the higher package.
  • Can I purchase add-ons?
    Yes! In addition to upgrading to a higher package, you can also activate add-ons – such as additional users, additional groups/departments, additional server storage, or additional transcription hours. All add-ons are billed according to the current pricing published in the application.
  • Is my data safe?
    We take data security seriously. Servers are typically located within the EU/EEA, we perform daily backups, and we use appropriate security measures. However, please note that complete security on the internet does not exist. For additional protection, we recommend using strong passwords, enabling two-factor authentication (2FA) where available, and regularly monitoring activity on your account.
  • How do I cancel my subscription?
    For a monthly subscription, the amount paid for the current period is non-refundable, but you can stop the subscription for the next period. For an annual subscription, you can request a proportional refund, reduced by any granted discounts and benefits. The refund processing fee is 90.00 EUR + VAT. Send your cancellation request in writing to info@zapisnik.si.
  • What happens after the subscription expires?
    After the paid period expires, access to the application is typically blocked the next day. If you do not renew the subscription, the data may be deleted no later than 6 months after expiration. We recommend exporting important materials before the subscription ends. If you pay before deletion, access is reactivated.
  • How do I contact support?
    Support is available by email at podpora@zapisnik.si from 9:00 to 16:00. For urgent matters, you can call us at the toll-free number 080 34 83. Complaints and requests are typically resolved within 15 business days. Extended support may apply to certain packages – check the package description for details.
